Creating an advance
One advance per artist per show, ready for the deal.
Go to Shows → Advances and select Create Advance. Give it a title, then choose the type:
Single show: one artist, one show. Link it to an event, or add a date and location.
Multi-artist event: one event with several artists. An advance is created for each artist. Venue, timings and running order are shared between them, so the promoter only fills them in once.
Tour / run: one artist, several dates. Each date becomes its own advance.
What's added for you
The artist's core team, on the travelling party.
The artist's current riders.
Their requirements, as the starting point for this show.
Any documents marked for the promoter.
The advance page
The header shows the show name, the artist, date and venue, and the status. There's one main button, which changes as the advance moves on: Send to promoter, then Confirm advance, then Publish to Artist App. Everything else is in the ⋯ menu.
Below the header, the advance is split into tabs:
Event: event details, location, show timings, set times, and stage and production.
Deal: what's agreed for this show.
Travelling party: who's on this show.
Travel & hotel: transport, flights, soundcheck and anything else with a time, plus hotels.
Contacts: who the artist can call on the day.
Guestlist: allocations, deadline and collection.
Riders & documents: riders for this show, show documents, the promoter's "Anything else", and internal notes only your team sees.
Artist App: publishing, the PDF itinerary, and edits made from the app.
Everything saves as you go. The tab you're on is kept in the page address, so you can send someone a link straight to it.
Schedule items
Each item on Travel & hotel has a type (car, flight, train, ferry, hotel check-in or check-out, soundcheck, doors, set time, curfew or other), times, from and to, driver details, vehicle, booking reference and who booked it. Assign it to everyone or to specific people in the travelling party. When it's booked by the artist, the Artist App shows You must book this yourself.
Show documents
Upload files into folders, such as Boarding passes, on the Riders & documents tab. Each file can be visible to everyone on the show or only to the people you pick.
