Setting the deal
Record what's agreed, and the promoter is only asked for their part.
Fill in the Deal tab from the contract before you send the advance. The deal is set per show. On a run of dates, use Copy deal from… to start from another show.
Accommodation, ground transport and flights
Promoter books & pays: the promoter fills in the details.
Promoter pays, we book: you book it and the promoter covers the cost. They see it read-only, with the agreed buyout.
Artist covers it: hidden from the promoter. In the Artist App it's marked as something to book themselves.
Not required: hidden from the promoter.
Hospitality
Promoter provides rider: hospitality riders are shown to the promoter to confirm.
Buyout instead of rider: riders are hidden and the promoter sees the buyout amount.
Not required: hospitality riders are hidden.
Guestlist
Allocation agreed: add each pass type and quantity. The promoter adds the deadline, collection point and how to submit names.
No guestlist: the section is hidden from the promoter.
Details and buyouts
Each item takes a little extra detail: rooms and nights, transport legs and passengers, outbound and return travellers. Where you're booking something the promoter pays for, add the buyout amount agreed at booking. It's optional, and the promoter sees it.
Choose the ground transport legs you need, then select Add legs & allocations to show. A car is added on Travel & hotel for each leg, and each agreed guestlist allocation is added to the Guestlist tab, so the promoter only fills in the times and details.
What the promoter never sees
Deal notes, booking references, and ticket or room prices stay with your team. The only figure the promoter sees is an agreed buyout.
Changing the deal later
The promoter form updates the next time they open it. If a section they've already filled in is no longer theirs, nothing is deleted. You'll see it greyed out as Not part of the deal.
Anything left as Not set is shown to the promoter in full. You'll get a reminder when sending, but it won't stop you.
