Artist teams and app access

Who's on every show, who joins some, and what each person can see.

The artist's team lives on their profile, on the Team tab. Manage people there rather than on each show, and every advance stays in step.

Core team and guests

• Core team is on every show: typically the artist, their tour manager and their MC. They're added to each new advance's travelling party automatically.

• Guests join specific shows only, such as a featured vocalist. They only see the shows you add them to.

How the team follows the shows

• New advance: every active core member is added to its travelling party.

• New core member, or a guest switched to core: added to every upcoming show for the artist. Past shows aren't touched.

• Removed or revoked: taken off upcoming shows only. Past shows keep them for the record.

• Leaving someone off one show: switch them off on that advance's Travelling party tab. It's remembered, and they show with a strikethrough so it's clear it was deliberate.

Adding someone

1. On the Team tab, select Add team member.

2. Add their name and role.

3. Add their email and phone. An email is needed for app access, and the same email can't be used twice in one artist's team.

4. Under Which shows?, choose Every show for core team, or Specific shows and tick the upcoming dates for a guest.

5. Choose their app access.

6. Leave Send app invite now ticked to email them straight away.

App access levels

• Tour Manager: every show for the artist, published or not. Can edit and publish.

• Artist: the published shows they're on.

• Travelling party: the published shows they're on, showing only the schedule items and documents assigned to them or to everyone.

• No app access: listed in contacts and on the PDF, but can't sign in.

Invites and sign-in

Each person shows where they're up to: Not invited, Invited, Signed in, No email or Access revoked. The ⋯ menu on their row has:

• Send invite or Resend invite: emails them a link to sign in.

• Preview as: opens the Artist App exactly as they see it. Use it before you publish.

• Revoke access: stops them signing in and takes them off upcoming shows.

• Remove from team: removes them completely. Past shows are kept.
