Setting up the Accessibility Hub

Provisions, pass types and your form, ready before applications open.

Work through these five steps in order. Most festivals can be ready to take applications in under an hour.

1. Add your provisions

Provisions are the things people can ask for: viewing platform access, accessible parking, a campsite pitch, a PA ticket. Open Provisions and click Add defaults to load the standard festival set, then edit or add your own.

For each provision you can set:

  • Category and Ops team. The team is who delivers it, and groups the Requirements board.

  • Ask for a quantity, such as two parking spaces.

  • Ask which days, for anything needed on specific days.

  • Requires supporting evidence and Active.

Keep PA / Companion active if you issue companion tickets. Ticking it on the form is what asks the applicant for their PA's details.

2. Check your pass types

Approved applicants and PAs receive real accreditation passes. Make sure the pass types you want to use already exist in Accreditation → Pass Types.

3. Build the form

Go to Forms → New form. Start from the accessibility template or a blank form, then add pages and questions. Alongside the usual field types you have:

  • Provision picker, which lists your active provisions for the applicant to tick. PA details appear inline when PA / Companion is ticked.

  • File upload for evidence: PDF, JPG, PNG or WebP, up to 10 MB each.

  • Content block for guidance text or your access statement.

Questions can be shown conditionally, for example only asking about wheelchair use when a wheelchair space is ticked.

4. Complete the form settings

  • Applicant pass type and PA / companion pass type decide what approval creates. If the PA type is empty, the applicant type is used.

  • Reply-to email is where applicants' replies go.

  • Acknowledgement email is sent on submission. A default is provided, with tokens such as {{applicant_name}}, {{reference}} and {{status_url}}.

  • Privacy notice is shown before submission. This form collects health data, so keep it accurate.

  • Deadline, if you have one.

The builder warns you if a pass type or reply-to address is missing.

5. Publish and share

Click Publish and copy the public link. Add it to your accessibility page and ticket emails. When you stop taking applications, click Close and the link shows a closed message.

A form that has received applications can't be deleted. Close it instead so the record stays intact.
