What the promoter sees

A one-page checklist they can finish on a phone in about ten minutes.

The promoter form is a single page, built for a phone. It carries your workspace logo and shows the artist, date and venue at the top, with you as their advancer contact.

At the top

  • The due date.

  • What's agreed: a plain-language summary of the deal, such as "Hotel: not required · Transport: you're booking · Guestlist: GA × 10 agreed".

  • Travel we're booking: times and places only, so they can plan pickups. No booking references or prices.

The sections

Each section opens one at a time, shows a one-line summary when closed, and has a Next button to the following one. A progress bar shows how many are complete. Sections the deal doesn't give them are left out entirely.

  1. Venue & timings: venue, address, time zone, load-in, doors open, doors close and curfew, plus parking, credential collection and dressing room.

  2. Set times: the running order for the night.

  3. Travel & hotel: only the parts that are theirs under the deal, with any artist requirements shown above.

  4. Show-day contacts: artist liaison, promoter, driver company and anyone else.

  5. Guestlist: only when an allocation is agreed. They add the deadline, collection point and how to submit names.

  6. Riders, documents & notes: rider confirmations, files, cash or settlement on the night, and anything else you should know.

Set times

  • The artist's own slot is already there and locked. The promoter adds the room and times, and can add other acts.

  • Set times must fall between doors open and curfew, or doors close if there's no curfew. Doors and curfew need to be filled in first.

  • A time earlier than doors counts as the next day. With doors at 21:00, a 01:00 set is saved as 01:00 the following morning.

Riders, requirements and notes

  • Each rider has Confirm or Flag an issue. Their name and email are asked once, not on every rider.

  • Artist requirements appear as read-only cards, each with Can't meet this if there's a problem.

  • Notes and health and dietary items you've chosen to share appear in their own cards.

  • Documents marked for the promoter are ready to download, and they can upload files of their own.

Submitting

Everything saves as they go. The bar at the bottom asks for their name and email, then Submit advance. If sections are still unfinished it reads Submit what I have, so they're never stuck. After submitting they can still make changes until you confirm. Once you confirm, the form is read-only and asks them to contact you for changes.

The show name, date, type, stage and key show info are yours to set. The promoter sees them but can't change them.
