Sending the advance

One link per artist to collect their team, riders, travel and guests.

The advance is a link to a form the artist's team fills in. There's no account to create and no password to remember.

Before you send

Add at least one contact with an email address on the artist's Contacts tab. Advance and itinerary emails go to every contact with notifications switched on. If nobody has, the artist's primary contact email is used instead.

Sending to one artist

  1. Open the artist and go to Advance.

  2. Click Generate Advance Link and choose which sections the form shows: Team & Contacts, Riders, Travel and Guestlist.

  3. Click Generate Link. It's copied to your clipboard.

  4. Click Send by Email, check the sections and click Send Email.

The status moves to Link Sent. Prefer to send it yourself? Use Copy Link and paste it wherever you're talking to their team.

Sending in bulk

The Advances tab lists every artist with their advance status, when it was last sent and who it went to. Filter by type, tag, advance status, touring party progress or guestlist progress. Show Progress adds columns for how much of each allocation they've used.

Tick artists, then choose:

  • Generate Links for anyone who doesn't have one yet.

  • Send Emails or Re-send Emails.

  • Update Status to move several advances to the same status.

  • Update Visible Sections to change which form sections they see.

  • Download Selected Links for a CSV of their advance links.

Before anything goes out, artists without an email are flagged and skipped, and invalid addresses are listed. A summary afterwards shows what was sent, skipped and failed.

Managing the link

On the artist's Advance tab you can:

  • Change Form Section Visibility at any time.

  • Regenerate Link to create a fresh one.

  • Close Link to stop any more changes. The artist sees that the form is closed. Re-open Link lets them back in, including after they've submitted.

  • Mark as Submitted if their team sent the information another way.

Advance links expire after 30 days. If one has expired, regenerate it and send it again.

Reviewing and confirming

When the team submits, the status changes to Submitted, with who sent it and when. Check their touring party, contacts, riders, travel and guestlist on the artist's tabs, then click Mark as Confirmed.

Advance History on the Advance tab logs every step, including anything changed through the link.
