Adding artists

Individuals, groups and the deal behind each booking.

Individual or group

  • Individual is a single act.

  • Group is several artists under one booking, such as a label takeover or a collective. Each member keeps its own record, linked to the group, and the group's page has a Group Members tab.

Adding an artist

  1. Go to Artist Grid and click Add Artist.

  2. Choose Individual or Group.

  3. Enter the artist or group name. Add a primary contact name, phone and email, their agency or manager, and any notes.

  4. For an individual, switch on Part of a group? to link them to an existing group.

  5. For a group, link existing artists or click Add New Artist for each member.

  6. Set the deal inclusions and touring party limit (below).

  7. Click Add Artist or Create Group. Their page opens, ready to advance.

Deal inclusions

Switch on whatever the festival is providing. Each one can carry a note for your team:

  • Flights, for example "Business class required".

  • Accommodation, for example "4-star minimum, room for tour manager".

  • Ground Transport, for example "Airport pick-up at 19:00".

  • Guestlist, with the number of spots included. It defaults to 5.

The deal shapes everything that follows. If flights aren't included, the artist's Flights tab says so rather than inviting a booking. The passport upload step on the advance form only appears when flights are in the deal. You can change the deal later from the artist's Overview tab.

Touring party limit

The most people that can travel with the act. Leave it blank and the default is 10. You can change it, and decide whether the advance form can go over it, on the artist's Touring Party tab.

The Artist Grid

Each row shows the artist, whether they're an individual or group, their tags, status, a tick or cross for flights, accommodation, transport and guestlist, their advance status and when they were last updated. Click the arrow on a group to see its members.

Search, jump with the A–Z bar, sort A–Z, or open Filters for status, advance status, deal inclusions, tags and type. Show 25, 50, 100 or 200 rows per page.

The Actions menu has Export Artist Grid, Import Artists, Import Tags & Updates and Manage Tags.

Bulk edit

Tick artists in the grid and click Bulk Edit to update several at once.

Tags

Tags group artists however you work: by stage, by day, by agent. Create and edit them in Actions › Manage Tags. You can filter by tag on the Artist Grid, the Advances tab and Itinerary Management.

Statuses

Alongside the advance status, each artist has a status of its own: Draft, In Progress or Confirmed. Use it to track where the whole booking stands.
