Touring party, guestlist and contacts

The people travelling with each act, their guests, and who you talk to.

Touring party

Open the artist's Touring Party tab.

Touring Party Allocation shows the limit and how much is used. Click the pencil to change it; leave it empty for the default of 10. Allow public overflow decides whether the advance form can go over the limit. When it's off, the form won't let them.

If a touring party goes over, the extra people are marked Over allocation so you can decide what to do.

Each member shows their role, phone, email, pass type and Person Code, where they came from (the advance form, your team or an import) and who added them. Their status is Draft, Pending, Approved or Rejected.

  • Click the tick or cross to approve or reject someone. You can also do this in Accreditation › Cred Approvals.

  • Click the star to make someone the Main Contact.

  • Click Add Member to add someone yourself.

  • History shows every change to the touring party.

The Touring Party tab at the top of Artist Logistics lists members across every artist, and lets you import them from a CSV.

Guestlist

Open the artist's Guestlist tab.

Guestlist Configuration shows whether guestlist is included, the total allocation and the breakdown by pass type. Click Edit Configuration to change it.

Guestlist Entries lists their guests as Draft, Pending or Approved. Approve or reject each one (with an optional reason), edit an entry, or click Add Entry. Tick several and click Assign Pass Type to set them together.

For paid guestlist, each entry shows its sub-type and cost, and whether it's Paid or Payment Pending.

Every artist guestlist entry also appears in the central Guestlist Hub, alongside public, manual, sponsor and media requests.

Contacts

The artist's Contacts tab holds their team's contact details. The notifications setting on each contact decides who receives advance and itinerary emails. Members of a group can use the group's contact instead of their own.

The Contacts tab at the top of Artist Logistics lists every artist's contacts in one place.

Riders, files and comments

  • Riders holds technical, hospitality and other riders, as PDFs or text. The top-level Riders tab shows who's sent theirs.

  • Files holds any other documents for the artist.

  • Comments is an internal thread for your team.
