Guestlist Hub overview

Every guestlist entry in one place, from request to pass.

The Guestlist Hub holds every guestlist entry for your festival: public requests, artist guestlists, manual adds, sponsors, media and VIPs. It's where you approve them, decide what pass each guest gets, and take payment when a guestlist place isn't free. It's available in Festival workspaces.

How a request moves

  1. A guest asks, through a public request form or an artist's advance.

  2. Your team reviews the request in Approvals.

  3. You choose the pass type and sub-type. The sub-type decides whether the place is complimentary or paid.

  4. Complimentary: the guest is approved and emailed their pass straight away.

  5. Paid or discounted: the guest is emailed a payment link. Their pass is issued once payment clears.

  6. On the day, they collect at the accreditation desk like everyone else.

The tabs

  • Dashboard for numbers at a glance.

  • Entries for every guestlist entry, whatever its source.

  • Approvals for entries waiting on a decision.

  • Request Forms for your public request forms.

  • Pass Types for guestlist sub-types and pricing.

  • Payments for paid guestlist places.

Where entries come from

Each entry shows its Source: Artist Guestlist, Public Form, Manual Entry, Partner, Sponsor, Media, VIP, Staff or Other. Artist guestlist entries are managed on the artist's page in Artist Logistics; they appear here so you can see the whole guestlist in one place.

Each entry is also Related To someone: the artist, supplier, sponsor, company or member of staff whose guest they are.

How it connects

  • Accreditation. Guest passes use your accreditation pass types. Approved guests are collected at the accreditation desk.

  • Artist Logistics. An artist's guestlist allocation is set on the artist. Their guests show here with the source Artist Guestlist.

Guests with no email address can't be sent a pass. They're marked No email — desk collection and collect at the desk using their name.
