Volunteer Hub overview

Your whole volunteer programme, from application to refunded deposit.

The Volunteer Hub runs your volunteer programme end to end: applications, deposits, the rota, check-in on the day and deposit refunds afterwards. Volunteers get their own mobile portal for shifts and payments. It's available in Festival workspaces.

The volunteer journey

Volunteer journey: apply, review, approve, pay deposit, pass ready, shifts, check-in, completion, refund
  1. Apply through your public form. No account needed.

  2. Review and approve, waitlist or decline. Approving asks whether a deposit is needed.

  3. Pay the deposit in full or in three monthly payments.

  4. Pass released once the deposit is paid, or straight away if they're exempt.

  5. Rota built and published by your team.

  6. On the day, supervisors check volunteers in and out.

  7. Refund the deposit once they've completed their shifts.

The tabs

  • Dashboard for numbers at a glance.

  • Applications for reviewing and deciding.

  • Roles for roles and positions.

  • Rota for shifts, assignments and change requests.

  • Check-in for recording attendance on the day.

  • Deposits for payments and refunds.

  • Forms for your application form and its settings.

Permissions

  • Volunteers opens the hub. Edit rights are needed to make decisions and build the rota.

  • Volunteers → Documents shows photo ID and uploaded documents.

  • Volunteers → Payments shows the Deposits tab.

  • Volunteers → Check-in gives access to Check-in only. Use it for head stewards who shouldn't see applications, ID or payments.

Volunteer records belong to your brand. Someone who volunteers at two of your festivals keeps one profile and one login.
