Setting up the Volunteer Hub

Dates, form and deposit settings to sort before applications open.

1. Set your festival dates and timezone

In Nexus Console → Workspaces → Manage → Dates, set the build, show and break start and end dates. They drive the availability questions and the days on the rota, and a form can't be published until all three are set.

Set the workspace timezone too. Shift times are always shown in festival time, wherever the viewer is.

2. Build the form

Go to Forms → New form and build your application. Volunteer forms add three useful field types:

  • Tick all that apply, used for phase and day availability.

  • Signature, for agreements and codes of conduct.

  • File upload, for photo ID or certificates. PDF, JPG, PNG or WebP, up to 10 MB.

Use conditional questions so build days are only asked about if someone ticks Build, and so on.

Write role requirements as clear yes/no questions, such as "Do you hold a personal licence?". Roles can require a yes before someone can be put on a shift.

3. Set the deposit

In the form settings, under Deposits:

  • Deposit amount, the default for everyone.

  • Days to pay after approval. The default is 10.

  • Deposits must clear by, the final date for all payments.

  • Free cancellation until.

  • Offer three monthly payments. Only shown to volunteers when there's time to finish before the deadline, on deposits of £30 or more.

  • Release the place if the deadline passes, for anyone who never pays.

4. Emails and privacy

Add a reply-to address, check the acknowledgement email and write your privacy notice. The builder flags anything missing.

5. Add roles and positions

You can do this later, but having roles in place before you approve makes the rota quicker. See Building the volunteer rota.

6. Publish

Click Publish and share the link. Close the form when you're full and the link shows a closed message.
