Volunteer check-in on the day

How supervisors record attendance from their phone.

Check-in is designed for a phone on site. Give head stewards the Volunteers → Check-in permission and they see this tab only, with no access to applications, ID or payments.

Checking someone in

  1. Open Check-in. It starts on today, in festival time.

  2. Filter by position, then shift.

  3. Tap Check in when the volunteer arrives.

  4. Tap Check out when they finish.

Volunteers never check themselves in.

Check in, check out, then an outcome: present, late with hours made up, short hours, no show or excused, leading to completed or did not complete

Attendance outcomes

The outcome is worked out when someone is checked out:

  • Present: arrived on time and worked the hours.

  • Late, hours made up: arrived after the grace period but still worked the full shift. Late isn't a fail.

  • Short hours: finished short of the shift.

  • No show and Excused: set by the team.

The grace period and shortfall tolerance both default to 15 minutes.

Corrections

The team can change an outcome with a reason. Every change is logged, and the volunteer's completion is re-checked automatically.
