Managing assets and categories

Adding kit, checking it out, and keeping the history straight.

Categories

Set up categories before adding assets. Go to Categories and click Add Category. Each has a Code, a Name and notes. Click a category to see everything in it.

Adding an asset

  1. Go to All Assets and click Add Asset.

  2. Enter a Name and an Asset Code. Codes must be unique.

  3. Choose a Category and Status.

  4. If it's going straight out, set the status to Checked Out and enter the assignee's name. Contact details and issue location are optional.

  5. Save.

Import adds assets in bulk from a CSV, and Export downloads your inventory, including who has each checked-out item.

Checking out and in

The quickest way is Quick Edit, the pencil on any row:

  • To check out, change the status to Checked Out and enter who has it, and where if you like.

  • To check in, change the status back to Available.

The list updates straight away.

The asset page

Click an asset to open its page and see its details and History. Every check-out, check-in, status change and edit is recorded with the before and after, so you can always see who had something last.

Finding assets

Search, use Filters, and sort the list. Choose manual sort to drag assets into your own order.

Deleting

Deleting an asset removes it from your inventory. Permanently deleting it, history and all, needs its own permission.
