Collecting meals
Recording meals at the catering point, one person or a whole supplier at a time.
Collecting for one person
Go to Collection and click Set Collection Meal Type. Choose what you're serving and the date. It stays set until you change it.
Search for the person by name or email, or click Scan / Search Code to scan their pass.
Click Collect next to their name.
Only people with a catering allocation appear. Each result shows whether they're crew or touring party, their supplier or role, their meal preference and any allergies, flagged in red.
If someone can't collect, the button says why: Collected if they've already had it today, or N/A if they aren't allocated that meal on that date. Click a name to see all of their entitlements.
Always check the allergy flags before serving. They come straight from the person's own submission.
Collecting for a whole supplier
Bulk Collection records a meal for many people at once, for example a security team eating together.
Choose the Supplier / Organisation.
Choose the Catering Type.
Tick the people eating, or select all who are eligible.
Click Collect for and check the confirmation. Any allergy or dietary warnings are listed at the top.
Confirm.
Each person's row shows their role, arrival and departure dates, dietary flags, whether they've already eaten today and how many uses they have left. People who aren't on site, are outside the meal's time window or have already eaten can't be selected, and are skipped if they were.
A summary shows how many were collected and who was skipped, with the reason. Choose Continue with same supplier or Start Over.
What decides whether someone can eat
They have an allocation for that catering type.
The date is within the catering type's dates, and their own allocated dates if they have them.
For bulk collection, they're on site between their arrival and departure dates, and it's within the meal's time window.
They haven't used up their daily allowance.
