Creating and managing tasks

Tasks, meetings, site works and deliveries, and who sees them.

Creating a task

  1. Click New Task.

  2. Enter a Title.

  3. Choose an Item Type / Category if it's a Meeting, Site Work or Delivery. Leave it as None (Basic Task) for anything else.

  4. Set the time, or switch on All day task and pick a date.

  5. Choose the Type: Build, Derig, Show Day or To-Do, and a Priority.

  6. Add who it's Assigned To: a team, department or person.

  7. Click Create Task.

Extra details by category

  • Meeting: location, attendees and agenda. Add meeting minutes from the task's full page.

  • Site Work: work category or area (fencing, power, structures), location or zone, and the responsible supplier.

  • Delivery: supplier or company, delivery type, access point or gate, vehicle or booking reference, contact name and phone, and special instructions.

Other options

  • Exclusive Zone stops other tasks overlapping it.

  • Share timing with all brand users puts it on everyone's Timings view. Only the title, time and location are shared; the details stay private.

Working on a task

Click a task to see its details. From there you can:

  • Edit Task to change anything, including its Status: Planned, In Progress, Blocked or Done.

  • Add and tick off subtasks.

  • Open View Task Page for the full page, where meeting minutes live.

  • Delete it.

Shared timings are a good way to give the whole team gate times, briefings and curfews without exposing the full production schedule.
